Board Meeting Procedure

The Board of Directors has set aside the 4th Thursday of each month to meet at the Arcola Community Center at 24244 Gum Springs Road in Arcola. Board meetings start at 7:00 PM and end at 9:00 PM.

All homeowners are welcome to attend, but are reminded that the purpose of the meeting is for the Board to conduct its monthly business. Open meetings are held so that all homeowners may observe the Board in action. According to Richard Thompson, a writer for Realty Times, "The value of maintaining open meetings is to eliminate the 'us and them' (owners vs. board members) mentality that can crop up when meetings are closed." Open meetings also provide attending homeowners with insight into how and why policy decisions are made.

The Board typically dedicates 30 minutes of the meeting time for an open forum, to allow owners to ask questions and make statements. The open forum is generally held at the beginning of the meeting, but may sometimes be moved to the end of the meeting if external guests, such as representatives of developers, are invited to speak at the meeting.

The time alotted for open discussion will be strictly controlled so as not to interfere with the Board's time to address its planned agenda. A sign-in sheet will be available before the start of each meeting for homeowners wishing to speak. The amount of time allowed for each speaker will be divided among those wishing to speak.
